Flights Related

We have negotiated many different types of agreements with different airlines; thus, the rules and restrictions for exchanges and cancellations vary greatly if allowed at all. When allowed, airlines require that we collect a fee for the exchange plus any difference in fare when necessary.  We must insist, however, that you do not book an itinerary for the exchange. Please keep in mind that all exchanges must be on itineraries provided by the same airline that issued the original ticket. In some cases, the airline may restrict or deny exchanges requested as few as seven days before departure.

E-tickets are offered by many major airlines, and allow you to travel without a paper ticket, eliminating the worry of leaving your tickets behind. Eventours Travels offers e-tickets when they are available. Bring government-issued photo identification (such as a driver’s license or passport) to the airport. E-ticketed passengers must have a printed boarding pass to proceed directly through security for check-in at the gate. Customers with check-in baggage or E-tickets who do not have printed boarding passes must go to the ticket counter before going through security checkpoints

Airlines practice the marketing concept known as “yield management, “where they sell as many seats as they can at the highest price they can get. It is impossible to pinpoint the cost of any single seat on any given flight. For example, some seats will be assigned special fares for corporate clients, while other seats will have been sold through a consolidator at a discount. Similarly, some fares may have been bought at a discount with frequent-flier award points or from a last-minute Web special. At our site, you will always be quoted the lowest fare available to us at that time.

Most airline tickets issued are non-refundable and non-transferable. Name changes are not permitted. However, you may be able to exchange your tickets for different dates. General Questions

Once your journey has commenced, it is advisable to get in touch with the Airline or service provider in the city/country where you are situated.

We strongly recommend bringing a backpack or duffel bag, as suitcases can be cumbersome and difficult to store in buses, under seats, etc. Keep in mind that you will normally have to carry your luggage on and off buses and trains and up and down hotel staircases. Suitcases with wheels may not work well on dirt or cobblestone roads.

Travelers arrive from all over the world to begin our tours and it is not possible to include international airfare in our prices. We would be happy to help you arrange flights. Just ask for an air quote when making your booking. However, our outbound ex-India tours might include international airfares.

We always recommend packing as light as possible however the specific requirements for your tour will vary widely depending on where and when you are traveling. Our ‘Trip Details’ document includes a suggested packing list and these can be downloaded from each trip summary page. The checklist is tour specific and based on the experience of our ground staff.

Requirements for travel visas vary widely depending on your nationality and your destination. Although we are unable to arrange visas on your behalf we have provided links on our “Visa and Travel Insurance” page to websites that will help you determine if visas are required. If you do require a visa you can arrange them yourself or use the services of a travel agent or visa processing company.

We keep our group sizes low so you have the freedom to move around and get involved with your surroundings, as well as more personal attention from our local guides. This intimate size ensures that your group will not crowd your experience. You can expect up to 20 travelers on a trip but the average is 15. Check individual trip pages for maximum group sizes.

To travel independently you must be at least 18 years of age. There are no upper age limits for most of our tours (although 18-to-Thirty something tours are restricted exclusively to 18-to-39-year-olds). Also, travelers with pre-existing medical conditions are required to complete a medical questionnaire. Our Family Adventures are open to families with children aged between 6 and 17 years of age. Our standard (non-family) adventures are open to children aged 12 years or older when accompanied by a parent (max. two children per adult). The two-children-per-adult restriction does not apply to our Family adventures.

Most of our trips do not have a single supplement. This means that the accommodation is on a twin-share basis and, if you are traveling on your own, you will be sharing a room with another Eventours Travels traveler of the same sex. Some tours have an optional single supplement or rarely a mandatory single supplement.

An optional service that may be available is called “My Room”. This service allows solo travelers to request their private rooms while on tour. The cost and the details vary by trip, so please refer to each trip summary page for details.

Starting and ending hotels are listed on your travel voucher and in the Trip Details document. We use a variety of hotels en route and so a complete list of hotels won’t be provided until day 1 of your tour. If your family requires contact information, or in case of emergency, please have them phone +91-7086566971. If our office is closed please refer to the emergency phone number that is found on the Trip Details document, this number can be reached 24 hours a day, 7 days a week.

It’s extremely difficult if not impossible to join a tour after it has begun. It is possible to leave a tour early however you will be responsible for your arrangements from the moment you decide to leave the tour. You would also be responsible for all costs associated with joining a tour late or leaving one early. If you feel this may be necessary please consult an Eventours Travels Specialist before you book your adventure.

Most of our adventures do not include airport transfers and so we recommend you arrange a taxi on arrival (this is the most economical and efficient way of getting you to your hotel). If you would prefer a pre-arranged transfer these are usually available at an additional cost – please contact us for more information. Some of our adventures, including our “Superior” “Comfort Class”, “Independent” and “Family Adventures”, include an arrival transfer (departure transfers can be locally arranged at additional cost from the finishing point hotel).

Trip-specific information on transportation can be found on the trip summary page however in most cases we use public transportation. We’ve found that how you get there significantly influences the tone of your journey and public transportation allows face-to-face interaction with the local people. Some of our adventures, including our “Superior”, “Comfort Class” and most adventures in Asia, use private transportation.

For privacy reasons, we cannot provide you with advance details on your traveling companions. However, our tours appeal to a wide range of travelers, most of whom share an adventurous spirit and a desire to experience these destinations at a grass-roots level. Our tours are conducted in English and so they attract many travelers from North America, the UK, Australia, New Zealand, and Europe.

Our unique style of off-the-beaten-track, face-to-face travel is the only way to experience a destination, but it also serves to keep costs down. We spend your money providing an authentic experience, instead of lavish hotels and expensive Western-style meals. We pass these savings on to you with our low prices. Another thing you’ll notice is the inclusions. While we don’t include everything, we do throw in the major highlights of a destination, the things that everyone goes to see. On every trip page, we show you the ‘Included Highlights’ of your trip, things that many other companies charge locally for. We leave many other activities as options, to provide you the freedom and flexibility to choose what you want to do daily.

Yes, in most cases we can arrange additional accommodation at our starting or ending hotels, excluding European tours. Please contact an Eventours Travels Specialist for price information or check under “Hotels, Transfers & City Breaks” on the tour page of our website for prices. If we are unable to provide you with the extra nights we will give you the name of a hotel you can contact directly. Please also note that extra accommodations must be booked outside of 30 days of departure.

Tips are not included in the tour price and tipping is entirely at your discretion. Our Trip Details documentation includes suggested tipping amounts and these are available from each trip summary page.

Booking Related

If you have a preferred travel agent, or if you heard about us through an agent, we strongly encourage you to book your adventure through them. Please have your agent give us a call or send us an email.

As our adventures are often “off the beaten track” it is next to impossible to contact our tour leaders and have arranged these services in such a short time frame. We highly recommend adding services to your booking at least 30 days before your departure date as amendment fees will apply between 30 – 10 days.

It means reserving space without payment for up to 48 hours. Holding an option gives you time to research flights, gather passport information, confirm arrangements with travel partners, etc. An option will expire and your space will be released unless you confirm within 48 hours. Holding an option isn’t necessary if you know you want to book and are ready to make payment.

There are two ways to hold an option: online or by phone (+91-7086566971). Our secure online booking form allows you to “Hold an Option” or “Confirm my Booking”. Payment is not required when holding an option however we do require your credit card details when booking online. Your credit card will not be charged unless you confirm your option. After holding an option you will be provided with a Booking Reference Number and instructions on how to confirm. Options that are not confirmed within 48 hours will expire and your space will be released.

The availability listed on our website is updated regularly, however, on some tours we must confirm arrangements with our local operations on the ground, a process which usually takes no more than 24 to 72 hours. When you book online you will receive a follow-up email confirming your arrangements or a timeframe for when they will be confirmed. We strongly recommend that you do not make any other non-refundable travel arrangements until you receive confirmation that your space has been held.

The security that comes from knowing your trip is locked in is a feeling that can’t be topped. We like that feeling – so much so that we figured everyone should have it. Every Eventours Travels departure is guaranteed to run. Once you’ve booked and paid, that’s it; you’re going. Your trip won’t be canceled by us for any reason (beyond harsh weather or safety issues).

All of our tours require that you have medical travel insurance which includes at least USD$55000 worth of emergency evacuation and repatriation coverage. On Day 1 your tour leader / Eventours Travels representative will ask you for proof of coverage. If you do not already have coverage, please give us a call and we can arrange this for you. Cancellation insurance is recommended but not mandatory.

As a sustainable company we try to limit the amount of paper that we consume, therefore, all documents are electronically sent directly to your email account.  Please consult an Eventours Travels specialist if this is not possible.

All documentation is sent electronically by email. Shortly after we receive your payment we will send you your initial documents. Final documentation will be sent by email no later than two weeks before the departure.

You sure can. Please let your Eventours Travels specialist know at the time of booking or indicate this when making your online booking.

After you have confirmed your booking, you have the option to cancel. For the most up-to-date cancelation penalties please refer to our Booking Terms and Conditions. Because of this, we highly recommend taking out an All-Inclusive Insurance policy, so you know your investment is secure!
